Visiting professor

By Rector's Decree No. 251/2025 (Protocol No. 51051 of March 4, 2025), the Rector has issued the new "Regulations governing Visiting Professors."

 

Vademecum/Guidelines

 

Prior to arrival

  • Title Allocation: Any faculty member wishing to invite a foreign scholar for more than five consecutive days and request the official title of Visiting Professor must submit a copy of the scholar's Curriculum Vitae to the Administrative Office (internazionalizzazione@dmsc.unifi.it). The CV will be evaluated by the Internationalization Committee prior to the Department Board meeting designated for approving the title.
  • Letter of Invitation: Upon request by the inviting faculty member, the Department can provide a formal Letter of Invitation signed by the Department Director. This letter is suitable for presentation to the scholar's home institution or for visa application procedures.
  • Scheduling: The letter must specify the exact dates of the stay at the Department, which must therefore be finalized before the letter is issued.

Upon arrival

  • Notification: The inviting faculty member must promptly notify both the Internationalization Office (internazionalizzazione@dmsc.unifi.it) and the Travel/Missions Office (missioni@dmsc.unifi.it) of the scholar's arrival. The Travel Office needs to be informed only if University internationalization funds or other funding types are allocated to cover the scholar's stay.
  • Official Appointment: The Internationalization Office (Rossella Romano) will manage the procedure for conferring the title via a Decree issued by the Department Director. In compliance with University guidelines, this title can only be officially conferred upon the scholar's actual arrival.
  • Expense Reimbursement & Tax Code:
    • The Travel Office (missioni@dmsc.unifi.it, Maria Rosato, and Francesco Quaranta) will provide the host faculty member with the Expense Reimbursement Form for Foreign Scholars (in English). This must be filled out by the scholar and signed in original.
    • A copy of the scholar’s passport will be requested to secure an Italian Tax Code (Codice Fiscale).
    • At the end of the stay, the form must list all incurred expenses. The inviting faculty member must collect and retain all original receipts/expense vouchers, ensuring they comply with the University Travel Regulations (Regolamento Missioni), and submit them to the Travel Office alongside the signed original reimbursement form.
    • The Travel Office will then request the scholar's Italian Tax Code from the Italian Revenue Agency (Agenzia delle Entrate)—if not previously issued—and process the reimbursement.

 

After the stay

  • Certificate of Attendance: Upon request by the inviting faculty member, the Internationalization Office (internazionalizzazione@dmsc.unifi.it) will issue an official Certificate of Attendance to the scholar, signed by the Department Director, confirming their time at the University as a Visiting Professor.
